Employees are stuck time-consuming work that can be automated
Saying no to new projects because you're not sure if you have the capacity
Project performance depends on a key person who may leave at any moment
Employees chat with AI instead of having AI run full workflows on the back end
Employees are too stretched making it hard to meet your delivery standards
Another employee left and now you have to start all over again hoping they fit
Creating SOPs, Guides, and documenting your processes. Also redoing your offers, creating packages and retainers to control scope creep.
You've also invested in your productivity, leadership, and team skills; as well as, your time testing and experiment with Notion, ClickUp, Asana, Trello, etc. and now with AI and automations.
But the thing is...
None of those solutions were built to extract what you can't see in yourself. So none of them actually get your team to fly solo so that you can say yes to more projects with confidence, knowing that nobody's going to drop the ball.
A 6-week sprint were we extract, define, and streamline your business processes so that they no longer live in your head, put them all together into an Internal Brain, and build you out your first 2 AI Agents

Increase Client Value & Capacity
Deliver more value for more clients knowing you'll not drop the ball on a project

Eliminate Stress & Uncertainty

Here's what you get

Bring your processes into a standalone database that becomes the central point of your operations and avoid trapping your knowledge inside Claude or ChatGPT.

Combine project management, communication, and collaboration into one tool so your team can fully take over without you losing the overview.

Support your team with AI Agents and automations that do the heavy lifting so that they can focus on delivering projects to the level of quality clients expect.

Week 1: Preparation
We go deep into your business to get a clear picture of your situation, tools, and current systems, so the Intensive and the Build Out are tailored to exactly what you need.

Week 2: The Intensive
In one day together, we map out your process, extract your intellectual property, and turn working with you into a marketing experience that retains clients longer and gets you referred more often.

Week 3-5: Build Out
We take everything extracted in the Intensive and turn it into an easy-to-use Notion Internal Brain, your Central Hub, and build out the selected AI automations.

Week 6: Transfer
We transfer ownership of everything we built into your account, show you how to use it, adapt it, and edit it, so you can keep improving it as your business grows without depending on us.

Service businesses with a team of up to 10, where the founder is still central to delivery. We've run this with event management companies, branding and creative agencies, video production teams, and consultants. The specific service matters less than the pattern: you have a proven way of doing things, and your team can't yet perform it to your standard without you in the room.
Most advice on team performance comes from companies with departments, dedicated ops people, and budget for A-player hires. Your business isn't that yet, everyone still does five things, and the offer itself is still evolving as you build it out. SOPs and standard hiring advice don't hold up at this size.
Instead of documenting tasks, we extract the judgment behind them, the decisions that feel like common sense to you because you've made them so many times you stopped noticing you were making them. That's the part a generic SOP always misses, and it's the part your team actually needs.
Book a Sprint call below. In the Preparation week, we get a clear picture of your business, your current tools, and where things tend to break down, so the Intensive is built around your actual process, not a generic template. From there, we run the Intensive, build everything out, and hand it over.
Sometimes it isn't. As the team grows, certain people become the one who knows a particular part of the business better than anyone, including you. If that person left tomorrow, you'd be starting from zero on whatever they carry, no notes, no process, just a gap where their knowledge used to be.
That's often the moment founders start looking for something like this, not because of their own bottleneck, but because they're watching someone irreplaceable and quietly dreading the day they walk.
The Sprint extracts expertise wherever it's concentrated, yours or your star employee's, so the business stops depending on any one person's memory to keep running.
Courses and leadership training teach you to communicate and manage better, which helps, but they assume the thing being taught is already written down somewhere. It usually isn't.
You can be excellent at what you do and still be unable to fully explain how you do it, because that's what expertise does, the better you get at something, the less you notice yourself doing it.
That's why the guide you already wrote captured the steps and missed the judgment calls, and why the person you trained on it still isn't making the calls you'd make. We don't teach you a new skill. We sit down with you and pull out what's already in your head, in a way a course on its own was never built to do.
This is usually exactly the right time. Chaos isn't a sign you need to get organized before you start, it's the sign the system doesn't exist yet. Waiting for things to calm down before you document your process means waiting for a moment that won't arrive on its own, since the chaos is what happens when a business runs on one person's memory instead of a process the team can follow.
The opposite, actually. Growing without a documented process just means each new client adds more of your personal time, not less, since you're the one holding the standard in your head for all of them.
The Preparation week is light on your time by design, so it works around a busy period rather than needing you to clear your calendar first. Better to get this in place with two new clients than to hit five and be having the same conversation with more at stake.
One full day together, in person or live online. We walk through your delivery process step by step, from the moment a client says yes to the moment the project wraps, and extract not just the tasks but the reasoning behind them, what you're watching for, what "done right" actually looks like at each stage.
By the end of the day, everything that used to live only in your head is captured and ready to build out into your Internal Brain.

"I finally had something real to communicate"
"We were selling LinkedIn ads as a subscription and just assuming people knew what they needed, which they didn't. Juan helped us turn scattered services into one clear, structured offer with a real path from A to B. That's what let us finally explain what we actually do, and what someone gets out of it, instead of listing features nobody understood." - Max, Kamrat, Linkedin Ads

"I could finally be a business owner, not just a service provider"
"Before this, I did everything myself and still felt like everything depended on me. Working with Juan helped me simplify my offer down to one clear signature service, build a client process that actually reduces the back-and-forth, and set up the internal structure to bring on a team. I stopped being just a service provider and started being a business owner."
- Johanna, Studio Arde, Branding

"I stopped doing everything alone at midnight"
"I'd tried other programs before, and the advice was always 'follow your instinct,' which didn't help when I didn't have one yet for this. What worked was a clear, practical, step-by-step approach instead. I got the confidence to bring on freelancers for the first time, and the results are genuinely better, because I'm not the only one doing everything anymore." - Victoria, Formation, Impact Reports

"I didn't realize I was the one keeping the company from growing"
"I was spending almost all my time on operations and none of it on the processes that would've let me step back. Juan showed me that was the actual problem. Once we had clear processes in place, onboarding got dramatically faster, and I could hire people without 20 years of experience and still trust the work, because the process carried what used to live only in my head."
- Anita, Proquinn, Documentation

"Growing without the chaos I expected"
"I took on three new clients this year, and instead of the usual overwhelm, everything's actually been calmer and smoother, even working more hours. The clarity made the difference. One line from Juan stuck with me completely, that every new service you agree to is a new business, and I catch myself running every yes or no through that now, before I say anything to a client." - Betina, Visual Narratives, Video Editing

"I was good at the technical work. I just didn't know how to connect it to a team"
"I was attracting more work than I could handle alone, and I'd never managed anyone before. What helped most wasn't just the structure, it was having someone who'd actually done this hand me tools instead of making me research and test everything myself. I went from dreading my first hire to feeling equipped for it."
